This builds a general contractor's estimate in the order a customer reads it. Labor at your rate for the hours, materials and subcontractors at your cost with the markup inside the price, equipment rental and disposal, permits and fees, sales tax on the materials where your state charges it, the estimate total, and the deposit to start as a share of it. It is the arithmetic of every estimate you send; the point is doing it the same way every time and ending on a figure the customer can sign. Free, on the page, no account; the paid plan saves it against the customer and sends it under your own name.
Labor carries a rate and a quantity, always
Hours times your rate, both shown, because a labor figure with nothing behind it is the line every customer argues with and the line you cannot defend from memory in October. If you price by the day, enter the day rate and the days; the tool does not care which, and the customer sees a rate either way.
Materials and subs are one marked-up price, not a cost and a fee
Materials go in at your cost and subcontractors at their quote, and the markup covers carrying both: the supplier trip, the return, the sub who is late. The estimate shows the marked-up figure as one line, because the markup is how the price was reached rather than a charge, and a line reading markup invites a negotiation over a number that pays for real costs.
Pass-throughs as lines, tax on the materials, the deposit last
Equipment rental, disposal and permits are shown as the lines they are, so the customer sees what is yours and what is passed through. Sales tax applies to materials in most states and not to labor, so the tool taxes the marked-up materials and shows the base. The deposit to start comes last as a share of the total, which is the number the customer needs to write a cheque for.
Contractors estimate template: common questions
Is this a free contractors estimate template?
Yes. It builds the whole estimate on the page with no account and no card: labor, materials and subs marked up, equipment, permits, tax, the total and the deposit. Print it or save it as a PDF as it stands. TakeoffDeck Pro adds your company name, logo and license number, a clean PDF without our line, and saving it against the customer so a revision starts from the original.
Do I charge sales tax on labor?
In most US states, no: services are not taxed and the tax falls on the materials. Some states tax construction labor, and some tax it only on certain kinds of work. The tool taxes only the marked-up materials, which fits the common case, but your state's rule decides, and the estimate should show which base the tax was charged on.
How long should an estimate be valid?
State it on the estimate: thirty days is common for materials-heavy work because supplier prices move, and the paid plan prints the date so the period is visible. The tool prices the job; the validity period, the payment terms and the scope in words are what you add around the figures before it goes out.
